Reminder- Upcoming Due Dates

*Sent to all teachers in District 2

 

Reminder: Due 10/1:

  • Enter all Ag course enrollments in IL Ag Ed website
  • FFA Chapter Strategic Plan submitted
  • FFA Membership submitted through IL Ag Ed website (DUE 10/15)
  • FFA Membership Fees and Administrator Online Approval RECEIVED by IL FFA Center (DUE 11/15)

 

Ag Course Enrollment Information: (DUE October 1)

Luke Allen created a video and Megan Coy created a teacher and student "quick guide" which can be found on the right side of the Educator Resources page. 

In short, here's what you need to do:
1. At the bottom of your "Account Settings" page please enter the courses you teach.
2. On the left side of your Teacher Dashboard (the page you see after you log in), select "Student Roster: Set Student Access Code" and follow the instructions. Have every student enter themselves (including all required information, as well as entering themselves in the course they are taking). It will either re-activate them in AET/ILAgEd or add them to the system.  Remember, you will have to also add graduates who are getting American degrees, course conflict students, middle school classes, and independent study students. To do this, add a course to your profile with the same name (there's a course for Graduated, for Conflicts & Independent Study, and SAE)
3. Go to the "Student Roster: Students Pending Approval" page to approve all students who are in your program.

We get many questions about students being approved but showing status in AET as “inactive.” It’s supposed to be immediate, and we have asked the programmer to look into this. For most students it will take 5-10 minutes to show as active, but I have heard it can take up to 24 hours for the student to become “Active” in the AET website and have access.  Be patient, and if the student still cannot access after waiting a day, contact me.

When students are approved by you, they automatically get an account created in AET if they are new. Their username and PW will be set to first initial last name format (i.e. LAllen) but if there is another instance of that in your chapter, it will add a 1, 2, etc. You can always reset student passwords by logging into your AET, click Accounts, and go into that student account to reset.

If you wish to double-check the students work, you can view course enrollments:

  • Use your dashboard bottom button to enter your AET account.
  • Click profile
  • #5 Set Up Courses at your school
  • You should see all courses you teach this year. On the right select “Enrollment” to view the students in that course. Please verify this is correct.

 

 

Chapter Strategic Plan – (DUE October 1):

Just like last year, you can submit your Chapter Strategic Plan (Pre POA) in any format that your FFA chapter prefers.  The only requirement is that it is submitted electronically and received by the Illinois FFA Center by October 1, 2019.  

The Chapter Strategic Plan (Pre POA) is a minimum standard requirement for Section E of the Incentive Funding Grant Application (IFGA).  You must submit a Chapter Strategic Plan ( Pre POA) by October 1, 2019, to receive any credit in Section E of the IFGA.  

The FFA Chapter can use any format they prefer, but all plans received must be sent electronically.  NO paper copies are needed.  

Steps to complete the 2019 Chapter Strategic Plan Process: 

  1. ALL FFA Chapters MUST Click here
  2. ALL FFA Chapters MUST Answer the first 5 questions of the form.  
  3. EITHER upload your own plan OR complete the form you have opened created by the Illinois FFA Center created.
  4. ALL Chapters MUST open this form REGARDLESS of what format you choose to do your Chapter Strategic Plan in.
  5. Here are the Questions on the Chapter Strategic Plan form.

There is NO NEED for emails or any other correspondence for submitting the Chapter Strategic Plan.    

As a reminder, the Chapter Strategic Plan (Pre - POA) is due October 1, 2019.  

Because everything is submitted electronically, it is dated when you complete the form, there is NO need to send this to your Section President or anyone else, simply print a copy of it for your records and have a GREAT year accomplishing your goals!

 

Illinois FFA Rosters DEADLINE Extended to OCTOBER 15, 2019:

PLEASE NOTE - the deadline is for FFA membership rosters is EXTENDED to October 15, 2019.  Also note, we are finalizing the administrator approval process to be completed online, stay tuned for further instructions on that process, the goal is for that to be easy - with a click or two from your Administrator.  The Administrator online approval is due by November 15, 2019.  The FFA Chapter check or payment of dues must be received by the Illinois FFA Center by November 15, 2019, for IFGA approval status.

Please be looking for an email from the FFA Center to announce when this process will be available for teachers to complete.
