We are so thankful for the service Jannette Allotey has provided to the Illinois FFA Center over the past five years, she has been a tremendous asset to our organization.  We are wishing her the very best in her next opportunity.  Her last day with the Illinois FFA Center will be Friday, February 10, 2023.

Bookkeeping Specialist
Illinois FFA Center - Springfield, IL

Job Summary
This full-time position will be responsible for bookkeeping/accounting functions as well as assisting with some human resource items.


Bookkeeping Specialist

Reports directly to Illinois FFA Center Executive Staff

Works collaboratively and with guidance from executive staff on the following projects:

  • Process and record transactions for FFA, IAVAT, IAVAT Admin, PAS, IACCAI, Foundation, and Alumni.

  • Prepare vouchers for the above entities in accounts payable, secure proper signatures, then process checks, record in Quickbooks accounts payable, secure signatures for checks, and prepare envelopes and mail.

  • Process and record all accounts receivable for all entities. Invoice any customers with unpaid accounts. Prepare and deposit monies for all entities and accurately record in Quick Books.

  • Provide information to Specialist staff regarding transactions within the entity they serve.

  • Process all bank statements received and reconcile each account, including all Foundation investment, accounts. Copy reconciliation and attach to bank statement, give to Executive Staff for review and to be filed.

  • Process payroll. Deposit all withholding, state and Federal. Process retirement funds each payday for employee withholding contributions and company contributions. Prepare and send all quarterly payroll returns. At end of year process w2’s, prepare all end of year tax returns for payroll and mail. Prepare 1099’s and mail out.

  • Prepare all entity financial reports. Make sure current copies are ready for all meetings and sent to boards.

  • Prepare and gather information, bank statements, financials, reports, ledgers etc. for all audits. Work closely with auditor in making sure all information is supplied. Get signatures and mail all tax returns, etc.

  • Assist Executive Staff in oversight of insurance policies.

  • Assist in developing and maintaining all forms, policies, procedures, programs, and materials to support the human resource department.

  • Ensure new hires complete the required paperwork needed and develop a personnel file for each new employee.

  • Manage employee files by keeping them current, organized, in compliance with regulations, and maintaining proper confidentiality of the information.

  • Assist with maintaining the records of all evaluations.

  • Ensure that the employee handbook and job descriptions are current.

  • Responsible for keeping all payroll records, posts timesheets, prepares payroll, prints checks and direct deposit vouchers, sorts and distributes payroll to employees.

  • Acts as the employee benefits coordinator.

  • Maintain documentation relating to FFA’s health, dental, and vision insurance policies.

  • Facilities terminations from health, dental, and vision insurance and transitions to COBRA.

  • Work with Worker’s Compensation adjusters on injured employee’s cases and coordinates Worker’s Compensation benefits with payroll benefits for injured employees.

  • Responsible for keeping records of employee’s leave of absences and tracking FMLA according to federal guidelines.

  • Responsible for maintaining a separate set of employee files for medical and FMLA information.

  • Responsible for acting as the HIPPA compliance officer.


Requirements: 

  • A Degree in Business, Accounting, or related field required

  • Excellent computer, analytical, and interpersonal skills required

  • Experience with Quickbooks highly preferred

  • 3+ years of experience preferred


Contract terms: 

  • Full-time, non-exempt staff

  • 100% Employer-paid Health Insurance

  • Vision/dental insurance and retirement benefits also included with the position

  • Compensation package: $20-$25/hour commensurate with education and  experience
