TITLE: Program Assistant
Facilitating Coordination in Agricultural Education - Local Program Support
LOCATION: Regional Office of Education #9

HOURS: Average of 8 hours per day (plus one hour unpaid lunch break); 40 hours/week.
SCHEDULE: Monday-Friday; 225 days (includes 16 paid holidays)
SUPERVISOR: State Coordinator, Facilitating Coordination in Agricultural Education
SUPERVISES: Not Applicable
JOB SUMMARY: The Program Assistant is responsible for assisting the director and other staff with tasks related to the coordination and implementation of programs associated with the Facilitating Coordination in Agricultural Education Local Program Support Grant; tracking accountability data for program; working with the grant fiscal agent (Parkland College) to submit requisitions and reimbursements; submitting payroll; coordinating venues for events; assisting with grant management; and assisting with projects as determined by the coordinator.
ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential function satisfactorily.
- Review, organize, input, and analyze programmatic accountability data within given timelines
- Demonstrate basic accounting skills when inputting requisitions, reimbursements, and maintaining fiscal records
- Maintain current file of requisitions of project expenditures and receipts in accordance with the budget line item classification for comparison with the fiscal agent’s reports
- Maintain and submit FCAE payroll and leave reports to the ROE 9 Payroll Department
- Perform office related tasks (make copies, prepare approved subcontracts, create flyers, communicate with field staff, etc.)
- Assist coordinator with annual grant preparation, budget management, and mid-year and final reports ensuring accuracy and completeness of data
- Coordinating hotels, venues, technology, and food for professional events
- Assist with special projects, as determined by the coordinator
QUALIFICATIONS:
EDUCATION AND EXPERIENCE
- Minimum Associate’s Degree; business experience preferred. Experience working with Google, spreadsheets and financials, preferred.
- Previous bookkeeping experience preferred
OTHER SKILLS AND ABILITIES
- Must be highly organized with the ability to multitask and meet project deadlines
- Must have strong customer service skillsMust be able to effectively collaborate with all staff and stakeholders through advanced written and verbal communication
- Knowledge of productivity software, including Word, Excel, Google Docs, Google Sheets, Google Forms, Canva, Video Conferencing platforms
- Once trained, must be able to problem-solve, take initiative, and work independently
TERMS OF EMPLOYMENT: Full-time employment; 225 work days (July 1 - June 30)
NOTE: This is a NON-EXEMPT, non-bargaining unit, non-administrative position.
EVALUATION : To be completed by the State Coordinator of the Facilitating Coordination in Agricultural Education using the ROE’s evaluation instrument.
SALARY RANGE: $40,000 - 45,000 to commensurate with experience and education
